Patient retention systems for med spas
Zapped finds the patients quietly disappearing from your practice, brings back the ones worth recovering, and installs the systems that stop it happening again. 30 days.
Starts with a diagnostic. No patient names required.
Where they’re disappearing
Installed inside the software you already run
The problem
You spend real money to get someone through the door for the first time. Then a tox patient who should be back in twelve weeks isn’t. A filler patient goes quiet after one visit. Someone prepays for a six-session laser package and stops at three.
Nobody calls them. Not because your team doesn’t care, but because nothing tells them to.
And when an injector leaves, their patients don’t transfer to whoever’s available. They leave too.
None of this shows up on a report. There’s no line in your software that says:
You lost 340 patients this year and it cost you $180,000.
It just looks like a slow month, and then another one.
The reframe
They know your building. They know your injectors. They’ve already handed you a card. There’s no ad spend, no consult, no trust to build from scratch.
Most practices we look at are sitting on well over a thousand dormant patients. A fraction of them are one message away from rebooking. The rest tell you exactly where your retention is breaking.
We find both, then we fix the reason it keeps happening.
What we install
Diagnostic
We map your patient database and show you where people are disappearing, what each leak is worth, and which one to fix first. You get the actual number before you commit to anything else.
Recover
Your dormant patients, segmented by treatment, spend, and provider. Then a campaign built for each segment. Someone who lapsed on tox gets a different message than someone whose injector left, who gets a different message than someone sitting on three unused laser sessions.
Protect
Reminders timed to the treatment, prep instructions sent automatically, and an alert when someone hasn’t confirmed so your front desk can call before the chair sits empty.
Retain
Rebooking prompts that fire on each treatment’s real interval, not a generic 30-day nudge. Post-treatment check-ins that make patients feel looked after. Running quietly in the background, permanently.
Why both halves matter
Bringing back someone who left twelve months ago takes an offer, four messages, and usually a discount. Reminding someone at week ten that they’re due takes one text and no discount at all.
Recovering someone who left
Catching someone before they go
Same patient. Completely different cost.
So we do both: recover what’s already gone, then catch people before they go quiet, which is cheaper, converts better, and means you’re not paying to win back patients who never should have left.
How it works
We analyze your database and hand you a one-page report: how many patients have gone quiet, what they’re worth, and which segments to attack first.
No patient names, no phone numbers, no email addresses. Just visit history, treatment types, and spend.
Campaigns, sequences, and automations built inside the software you already use. Nothing to migrate, nothing new for your team to learn.
Campaigns go out in waves so your front desk isn’t buried. You see contacted, replied, booked, showed, and collected. Every week.
Qualification
Zapped works when there’s enough history in the database to recover. Below that, there isn’t enough there to justify the install, and we’ll tell you so on the call.
We also take one practice per market. We’re not running competing win-back campaigns to the same patients.
Guarantee
$50,000
The diagnostic comes before anything else. If it doesn’t surface at least $50,000 in recoverable patient value, you don’t pay for it.
3x
And if the install doesn’t return 3x your investment in collected revenue within 30 days, we keep working until it does.
We can wake up your dormant patients. We can’t seat them for you.
Questions
Boulevard, Zenoti, Aesthetic Record, Nextech, PatientNow, Mindbody, Vagaro, and most others. Everything gets built inside the system you already run. There is nothing to migrate and nothing new for your team to learn.
If you’re on something less common, tell us on the call and we’ll confirm it works before you commit to anything.
Not for the diagnostic. We work from visit history, treatment types, and spend. No names, no phone numbers, no email addresses. That’s enough to size every leak in the database.
For the install, campaigns are built and run inside your own system under your existing agreements, so patient records stay where they already live.
Two things: the same two conditions in the guarantee. Someone answers replies within four business hours, and there’s availability on the calendar to seat the people who book.
We build the campaigns, write the sequences, and run the waves. Your front desk handles the conversations that turn into appointments, which is the part they’re already good at.
The systems keep running. Confirmations, follow-ups, and rebooking prompts don’t switch off at day 31. The install is one-time and it stays installed.
Operating it is a separate question: new campaign waves, sequence updates as your treatment menu changes, provider-departure response, and a monthly list of patients drifting toward dormant. If you want us doing that, we’ll talk about it around day 25, once you can see what the first 30 days actually returned.
If the diagnostic doesn’t surface at least $50,000 in recoverable patient value, you don’t pay for it. If the install doesn’t return 3x your investment in collected revenue within 30 days, we keep working until it does.
Both assume the two conditions above are met. We say them out loud before you sign rather than pointing at them afterwards.
Start here
Before you decide anything, find out what’s actually sitting in your database. The diagnostic takes a week and doesn’t require handing over a single patient name.
Four installs per month. One practice per market.
